ClickUp, connected to the rest of your company.
ClickUp holds a piece of your business; the manual work lives in the gaps around it. We build the automations that close those gaps, against your existing account, with a person signing off on anything that matters.
What ClickUp is
ClickUp is a cloud work management platform that puts tasks, documents, time tracking and dashboards in one application. Agencies, small product teams and operations teams use it as their single place for work. Everything is arranged in a hierarchy of workspace, spaces, folders, lists and tasks, and each task carries a status, assignees, dates and custom fields.
What an automation reads and writes there
- Tasks and subtasks
- Lists, folders and spaces
- Statuses and custom fields
- Comments and attachments
- Time entries logged on tasks
Work that gets built around ClickUp
Enquiry to quote, tracked as a task
A price request arrives by mail or form and becomes a task in the sales list. A draft quote from your price list is attached and the task waits in a review status for your yes. After approval the quote is sent, with a follow-up three days later. Catalogue price: $490 for setup and $79 per month for care.
Built as: Quote deskProduct descriptions through a review list
Each product that needs a description is a task in a ClickUp list. The draft and its Polish, German and English versions are attached, and the task moves to a review status. A person approves or returns it, and only approved text goes to the store. Catalogue price: $490 for setup and $79 per month for care.
Built as: Product content for storesTender shortlist as a ClickUp list
Public tenders are watched by your keywords, summarised and scored for fit. Those worth a look become tasks with the summary, the score and the submission deadline as the due date, so nobody reads every notice in full. You pick which ones get a first offer draft.

Before you automate against it
Statuses in ClickUp are defined per space, folder or list, not once for the whole workspace. An automation that moves a task to a review status needs that status to exist in every list it touches. The access token belongs to one user and carries that user's view of the workspace.
The controls
- How we connect Through ClickUp's own interfaces - API where it exists, structured exports and the mailbox where it does not. Nothing installed inside your ClickUp account behind your back.
- What usually gets built Data leaving ClickUp into invoices, CRM records and reports; data arriving into ClickUp from orders, forms and mail - the retyping in both directions is the work that disappears.
- The controls A written spec, a full run record, an approval queue for consequential steps, and a signed proof afterwards. The same four controls every OAKMONT automation runs with.
Common questions
- Can tasks be created in ClickUp from outside with custom fields filled in?Yes. ClickUp has a documented public API that creates and updates tasks, sets statuses and writes custom fields, and it can notify an outside system when a task changes. Custom fields and their dropdown options are addressed by identifiers, so the mapping is set up list by list and written into the spec.
- What happens when we reorganise our spaces and lists?Tasks keep their identity when they are moved, but an automation is aimed at particular lists, statuses and fields. Archiving a list, giving it its own set of statuses or deleting a custom field changes what the automation finds there. A reorganisation is the moment to update the mapping before the next run, not after it.
- Can OAKMONT automate ClickUp?Yes - ClickUp is on the creator's systems list, and automations are built against your existing account through its own interfaces. Describe the workflow and a person replies with a fixed quote.
- What does a ClickUp automation cost?Catalogue prices start at $490 for a single delivered workflow, with care from $79/month. The fixed price for your case is confirmed by a person in writing before any work starts.
- Is our ClickUp data safe?Every automation runs with a written spec and a full run record, consequential steps wait for human approval, and for work that must never leave your building there is the Private AI Box - the whole stack on your own hardware.
